# Klaviyo for a gated Shopify store

A gate collects addresses faster than an open shop, and most of them are not yours to market to. Which ones are, and how to keep the four kinds apart in Klaviyo.

A gate collects email addresses faster than an open store does. That is the point of it: somebody who cannot see a price has a reason to type their address in, and somebody browsing an open shop does not. Within a month of putting a door on a catalogue, most merchants have a longer list than they have ever had.

Then they try to move that list into Klaviyo and hit the question this guide is about, which is not technical. Most of those addresses are not yours to market to.

## The two lists you actually have

A gated store produces addresses through a door, and a door is not a signup form. Somebody handed you an address to get at a price. That is a transaction with a purpose, and marketing was not it.

So you have two lists inside one:

- **People who asked to be let in.** They gave you an address to get access. Nothing about that says they want your campaigns.
- \*\*People who asked to be let in *and* ticked a box saying you may email them.\*\* These are the ones you can market to.

The second list is smaller than the first, always, and it is the only one worth having. A list you cannot legally email is not an asset — under GDPR and PECR in the UK and EU, and under CAN-SPAM's rules on the American side, the address is not the permission. Sending to the first list is how a sending domain gets burned, and a burned domain takes the second list down with it.

**This is the part that is easy to get wrong quietly.** Nothing breaks. The emails send. The complaint rate creeps, the inbox placement slides, and six months later the campaigns that used to work do not, for reasons that look like copy problems.

## What Shopify's own Klaviyo integration does not cover

Klaviyo's Shopify integration syncs customers and their subscription status. It is good, and it is not the thing you need here.

A person who asked for access and was declined is not a Shopify customer. Nor is somebody sitting on your waitlist, or somebody who added three products to an interest list and is waiting for you to open. None of them have bought anything. Most of them have no Shopify customer record at all.

Those people are the entire value of running a gate — they are demand you can see before you have supply — and the native integration cannot see them, because from Shopify's point of view they do not exist yet.

## Four kinds of person, and they want different emails

Anybody Inner Circle captures arrives in one of four states, and they are worth keeping apart. Sending all four the same campaign is the second most common mistake after sending to people who never consented.

- **`request`** — asked for access, still waiting or declined. They want to know where they stand.
- **`interest-list`** — asked, and told you which products they want. The highest-intent people you have, and the ones a "back in stock" or "now open" email is actually for.
- **`waitlist`** — queued because you were full. They want their position and a reason to stay.
- **`member`** — already inside. They can buy. A campaign telling them to request access is a campaign that makes you look like you are not paying attention.

That last one matters more than it sounds. A member receiving the acquisition flow is the single fastest way to make a private store feel impersonal, which is the one thing a private store is selling.

## Connecting it

On [Growth](https://innercircle.monochrome.digital/pricing/), Inner Circle syncs to your own Klaviyo account directly.

1. In Klaviyo, create a private API key.
2. In the Inner Circle admin, go to **Settings → Integrations**.
3. Paste the key and pick which of your own Klaviyo lists people should land in.
4. Use **Backfill** to send everyone you have already captured. It is keyed by email address, so running it twice does not create anybody twice.

From then on, everyone new lands in that list as they are captured, carrying an `inner_circle_source` property set to one of the four values above. Segment on it in Klaviyo and the four audiences separate themselves.

The consent date travels too. Klaviyo records *when* somebody consented, not just that they did, which is the record you want to be holding if anyone ever asks.

### Three things it deliberately does not do

**It never sends somebody who did not tick the box.** Not on backfill, not on a new request, not ever. There is no setting to turn this off, which is the setting most integrations get wrong.

**It never blocks a request.** If your API key is revoked, or Klaviyo is having an afternoon, requests carry on being taken exactly as before and sync later. Your gate does not go down because your marketing tool did.

**It never deletes from your Klaviyo.** If somebody asks you to erase them, Inner Circle clears them on our side and stops sending them — but anybody already on your Klaviyo list is on *your* list, in *your* account, and removing them is yours to do. No integration can reach into another company's account and delete a record, and one claiming to would be lying to you.

## If you are not on Growth

Every event Inner Circle handles also fires a [Shopify Flow](https://innercircle.monochrome.digital/features/#email) trigger — a request submitted, a code redeemed, a request approved. Flow can push those into Klaviyo, and it works.

It is more wiring, and the consent rule becomes yours to enforce rather than ours. If you build it this way, put the consent check in the Flow itself rather than trusting the list to stay clean.

## A checklist

- One Klaviyo list for people the gate captured, separate from your buyers.
- Segment on `inner_circle_source` before you write a single campaign.
- Never send to an address that has not consented, however tempting the number looks.
- Members get a different flow from applicants. Check this before every send.
- Interest-list people are your launch audience. Treat them as the asset they are rather than as part of a bulk list.
- Keep the consent date. It is the evidence, not the flag.
